Building enterprise automotive SaaS UX for VW, Audi & Porsche dealership in Dubai, UAE

When our team joined this project for a multi-brand dealership group in Dubai, we expected to see a high-level enterprise system.Instead, the dealership was managing a 600-car subscription fleet in Excel.

Not because they lacked demand, the business was already growing fast with corporate clients, premium vehicles, and expanding operations across the UAE.

The problem was the software.

Existing tools were either:

  • Generic DMS / Fleet Management systems built for logistics and stock mgmt, or
  • Rental apps designed for short-term rentals.

Neither matched the complexity of a premium car subscription business and its workflows.

Rexalto set out to build a full-cycle subscription platform for VW, Audi, and Porsche dealerships in the UAE, combining storefront, billing, KYC, payments, fleet operations, telematics, and a flexible e-commerce approach for fleet programs into one system.

That’s where Noixlab joined the project.

The project combined several complex systems into one platform.

One of the main product challenges was designing for two completely different user groups:

customers subscribing to vehicles online, and internal fleet teams managing daily operations.

Both needed fundamentally different experiences inside the same ecosystem.

In many ways, the platform worked like a Shopify for dealership subscription programs, combining:

  • Customer profiles & KYC,
  • Dealership storefront,
  • Subscription onboarding,
  • Integrated payments with multi-PSP
  • Fleet operations & maintenance
  • Telematics and real-time vehicle data
  • Dashboards for business & Ops

At launch, the platform supported around 600 vehicles and later scaled to more than 1,500 cars across dealership operations.

UX CHALLENGE #1: Two user groups, one platform

One of the biggest product challenges was designing for two completely different user groups inside the same system.

The customer side needed to feel simple and premium:

  • Browse and filter relevant vehicles,
  • choose subscription plans with proper terms,
  • upload Emirates or Intl ID,
  • Sign digitally,
  • Easily checkout with clear process understanding
  • track lifecycle and  payments.

At the same time, dealership operations teams needed a much deeper workflow layer:

  • Fleet management
  • Recurring billing & Invoicing
  • Maintenance tracking & Predictive alerts
  • Telematics integration & Data mgmt
  • Inspections checklists
  • Vehicle lifecycle management

We designed two separate interaction layers on top of shared infrastructure.

The customer experience stayed lightweight and ecommerce-focused, while the operational side prioritized visibility, control, and speed for daily fleet management.

UX CHALLENGE #2: KYC without killing conversion

In the UAE market, KYC is a mandatory part of every subscription flow.

The challenge was reducing friction without compromising verification requirements such as:

  • Emirates ID validation,
  • Visa verification for foreign citizens
  • Additional AML checks, including car rentals blacklists

Instead of placing verification at the very end of checkout, we integrated KYC directly into the onboarding flow — users uploaded documents earlier in the process, while verification continued in the background during plan selection and payment setup.

We also focused heavily on system feedback and status communication. Instead of generic loading states, users received clear progress updates and automated email notifications.

Fleet managers also received linked customer verification and subscription status updates inside the admin system — this helped reduce onboarding uncertainty and cut average verification time to under 30 minutes, making the experience smoother for both customers and operations teams.

INTEGRATIONS: UX meets infrastructure

A platform like Rexalto lives or dies by its integrations. We worked closely with two in particular.

Stripe + local payment rails. The UAE market requires more than card processing — IBAN transfers, local gateway support, and recurring billing logic that accounts for subscription pauses, vehicle swaps, and partial-month proration. The UX challenge here was surfacing billing complexity in a way that felt simple to the customer but gave fleet managers full visibility and control.

Tracklab telematics. Rexalto’s fleet monitoring connects directly to Tracklab — giving managers live vehicle location, mileage, and maintenance triggers inside the same platform. The design question: how much telematics data does a fleet manager actually need to see, and in what context? We used progressive disclosure — summary view by default, drill-down on demand.

Summary

The platform went live with VW, Audi, and Porsche dealerships across UAE covering the full subscription lifecycle — browse, sign up, manage, buyout. Six modules. Two user types who had almost nothing in common. That gap is where most of the real design work happened.
